Reporting to the President and CEO, the Office Manager assists with day to day operations of Starfish Initiative and is responsible for a full spectrum of support that includes assisting executive leadership, human resources, finance, and administration responsibilities. 

This position is part-time, hybrid position.

ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES 

Administration  

  • Responsible for the organization’s day-to-day administrative tasks 
  • Serve as the first point of contact for visitors and calls to the office 
  • Provide support to overall team  
  • Manage the maintenance of office equipment 
  • Manages and coordinates overall administrative and office activities 
  • Responsible for management of the building activities  
  • Assist with coordination of volunteer background checks  
  • Assist and participate in coordination of various agency projects 
  • Ensure office facilities are operational  

Executive Support Functions 

  • Assist executive leadership with administrative needs including communications and scheduling  
  • Coordinate full board and committee meetings  
  • Organize board materials  
  • Document full board meeting minutes 
  • Ensure board roster is up to date 

Finance Functions  

  • Receive, document all account receivables, and make bank deposits 
  • Make account payments upon approval from President and CEO 
  • Assist with audit preparation 
  • Maintain records on vendors, business contacts, donors, and other constituents in appropriate systems 
  • Provide reports, as needed/required 

HR Functions  

  • First point of contact for initial onboarding activities that include new hire and benefits documentation  
  • Work with HR vendor to maintain and update employee files to remain in compliance with state and federal laws.  

QUALIFICATIONS

  • Associates or Bachelor’s degree preferred 
  • Minimum 2-3 years of administrative experience  
  • Commitment to the mission, core values and goals of Starfish Initiative 
  • Ability to complete tasks in a professional, confidential, effective, and efficient manner 
  • Excellent organizational and communication skills with high attention to detail 
  • Strong technology skills required 
  • Knowledge of office administrator responsibilities, systems, and procedures  
  • Flexibility for evening and weekend work hours when needed 
  • Familiarity with donor management and financial management systems.
